How To Communicate With Clients As A Freelancer

Knowing about a language is a part of communication. It’s a myth that just knowing English is enough to communicate with international clients. Communication should be two ways. The purpose of communication is to make other people understand what’s in your mind. We saw freelancers struggling to communicate with their clients. So, here’s a detailed blog post on how to communicate with clients.

Why Does Communication Matters?

The success of a project depends on the freelancer’s communication skills with the clients. If the freelancer is able to identify what are the requirements of the client, he can better access the do’s and don’ts of the project. 

The clearer a freelancer’s understanding of the project, the happier the client will be. A happy client is a win-win situation. That client can become a returning customer or source of referrals from their network. 

1. Better Understanding

Effective communication is key to understanding the actual needs of the clients. The clients love to work with freelancers who minimize the number of attempts to repeatedly explain their desired results. They admire those freelancers who know how to communicate effortlessly.

2. Standing Out in The Crowd

A freelancer with good communication skills would definitely stand out in the crowd of competitor freelancers. The clients search for freelancers who could literally understand what’s in their mind. A good communication skill can help freelancers get into the client’s minds through asking the right questions.

Effective communication helps establish trust between freelancers and clients. When freelancers are clear and responsive, clients feel more confident in their abilities. Trust leads to long-term relationships and repeat business.

Clients expect a high level of professionalism. Communication plays a big role in this. When freelancers respond promptly and provide updates, it shows reliability and commitment, setting them apart from competitors.

Good communication can make or break a project. Freelancers who regularly check in and keep clients informed can identify and address issues early. This ensures projects stay on track and meet the client’s goals.

How To Communicate With Clients: Practical Tips

Effective communication with clients goes beyond just exchanging information. It’s about creating a connection that ensures clarity, trust, and mutual understanding throughout the project. 

Freelancers need to approach communication with intention, focusing on active listening, clear messaging, and being adaptable to each client’s preferred style. 

Keeping communication consistent and professional is key to avoiding misunderstandings and ensuring that both sides are aligned on expectations and goals.

1. Stop Assuming

Half knowledge is more deadly than having no knowledge because in this scenario, assumptions take place. You assume and deliver what you think your clients want. When you show up with your efforts, your expectations of getting praised hurt badly.

That’s why you should ask questions. Your clients have a blurred picture of what they really want from you. It’s your responsibility to ask the right questions to make them describe what they really want.

2. Speak Their Language

Using too many technical words in communication wouldn’t make you an expert. Usually, the clients have no idea of the technical terms of your services. Therefore, you should try your best to speak the conversational language with them. 

Explain the complex terminologies of your services to make them understand better. Try to avoid using acronyms. Use full terms wherever possible. The purpose of your communication should be to ensure clients digest the information easily, rather than leaving them puzzled about your intentions.

3. Paint A Clear Picture

Our mind thinks in pictorial format. That’s why we grasp information which is in the form of pictures briskly. Apply this concept in your communication with your client as well. 

Use illustrations, graphs, characters, screenshots, previews, mockups, etc when you have to present a lot of textual information. 

Visuals speak louder than words. They speak a universal language. Comics are perfect examples of this statement. 

Visuals can act as a communication bridge between both of you specifically especially if your client’s native language is different than yours. Moreover, using visuals can convey your ideas better.

4. Act as a consultant

You are an expert who knows your stuff better than your clients. Don’t get offended by their silly questions. Act as a consultant and educate them. 

They will try to come up with certain peculiar suggestions, pretending they know a lot about your stuff. Don’t try to double cross them. Give them logical explanations for your decisions.

5. Be A listener

Learn to be an active listener. Learn to understand their needs, not to reply abruptly. Listen deeply and talk later – even if you think you know what the client needs in the very first go. Initially, you need to gather the maximum information about the project. 

The more information you have, the less chances of you making mistakes later. So, be a good listener. On a professional level, the client feels listened to, which ultimately helps in creating a bond of mutual respect and understanding between you and your client.

6. Be Honest

The clients hate fake promises and fake efforts. Try to be transparent with them. Explain them each and everything. In case of something bad happening, don’t panic. Just explain the situation honestly. They’ll definitely offend if you hide the reality from them. Instead, be honest and explain the situation. There are chances they may understand and let you give it another shot.
